The role will support the effective administration, governance and continuous improvement of the HR Management System. This includes ensuring accurate employee data, secure and appropriate user access, smooth HR lifecycle processes, and effective system configuration to support HR policies, operational needs and future system enhancements.
Job Scope:
• Assist with user access management, role configuration, and security administration within the HR Management System (HRMS)
• Assist in HRMS account administration, including user provisioning and access controls
• Maintain and administer employee data in the HRMS, ensuring accuracy, completeness, and timely updates across all HR lifecycle events
• Support HR operations by coordinating activities leading to employee record creation (onboarding, movements, exits)
• Perform regular data audits and validation checks to ensure data integrity, consistency, and compliance with policies
• Identify data discrepancies and collaborate with relevant departments to rectify inaccuracies and maintain a reliable HR database
• Establish and enforce data governance standards and controls across HR systems
• Identify opportunities for process improvement, automation, and optimisation within the HR system
• Perform functional configuration and maintenance of cloud HCM modules (e.g., Core HR, ESS/MSS, workflows, organisation structures, and approval processes)
• Translate HR policies and business requirements into system rules, workflows, and configuration settings
• Support system enhancements, releases, and module rollouts, including configuration updates and documentation
• Participate in System Integration Testing (SIT) and User Acceptance Testing (UAT) for new systems, modules, or enhancements
• Develop test scenarios, validate system outputs, and ensure alignment with business requirements
Additional duties when required:-
• Extract, analyse, and interpret HR data to generate meaningful business insights and workforce analytics
• Prepare and deliver monthly HR reports and dashboards accurately and within timelines
• Support ad-hoc data requests using HRMS and Power BI dashboards, ensuring data accuracy and relevance
• Support cross-functional HR initiatives
Requirements:-
• Degree in Human Resources or Information Technology is preferred
• Experience with Human Resources Information Systems and other HR-related software will be beneficial
• Has some proven experience as a HRIS administrator or in a similar administrative role, demonstrating HR operations knowledge and attention to detail
• Proficient in Microsoft Excel and comfortable working with numbers
• Intermediate knowledge of MS Word, Powerpoint and Power BI will be an advantage
• Meticulous, detail oriented & organized
• Have a high level of discretion and confidentiality in handling sensitive employee information
• Able to work independently and has good interpersonal skills
